Window replacement planning checklist
A practical sequence for your window survey, product choices, quotation, installation preparation and handover.
Start with the problems you want to solve, confirm any property restrictions, then agree the specification and fitting scope in writing. Prepare access before installation and keep the handover documents afterwards.
1. Record the problems and priorities
Walk through each room and note difficult opening, draughts, visible damage or glazing issues. Decide which appearance details you want to retain. Keep clear photographs ready for your first conversation.
2. Check who needs to agree
If you rent, share ownership of the building or have a property factor, establish who needs to approve the work. For listed buildings or conservation areas, ask your local planning authority about the proposal before ordering.
3. Prepare for the home survey
Share your postcode and explain access, floor level and parking restrictions. Make the affected windows accessible for inspection and tell the surveyor about earlier repairs or known defects.

4. Sign off the details
Check the window schedule, opening directions, frame finish, handles, glazing and ventilation. Keep drawings and samples with the written quotation. Confirm fitting, making-good, disposal, payment and guarantee terms before agreeing.
5. Get the rooms ready
Ask the installers what needs to be moved and how the work area will be protected. Arrange safe access, move fragile belongings and keep children and pets away from the working area. Confirm the intended sequence rather than assuming every room will be affected at once.
6. Check operation and keep the paperwork
At handover, ask to see the windows open, close and lock. Record any finishing points that need attention. Keep the invoice, written guarantee and maintenance guidance, along with the correct aftercare contact.
